Software for Small Clinics: A Setup Checklist for Single-Doctor Practices

A practical checklist for solo doctors and small clinics in India choosing and setting up clinic software: devices, clinic profile, medicines, printing, payments, staff and data safety.

A single-doctor clinic does not need hospital software. It needs something that handles the queue, prescriptions, payments and records without adding work, and that the doctor can set up on a Sunday afternoon without a sales engineer. This checklist walks through what a small clinic actually needs and how to set it up in an orderly way.

Part 1: Choosing the software

For a small clinic, the shortlist criteria are simple:

  • Focused on OPD. Queue, prescription, billing and records. You do not need IPD, pharmacy inventory or lab modules if you do not run them.
  • Works on devices you already own. A browser-based tool that runs on phone, tablet and laptop avoids new hardware.
  • Works offline. Short outages should not stop your OPD.
  • Clear pricing, ideally with a free plan or a no-card trial.
  • Your data is exportable at any time.

Our full checklist for choosing OPD software goes deeper. If cost is the main concern, read what free clinic software actually includes.

Part 2: The setup checklist

Devices

  • One device at the doctor's desk: tablet, laptop or phone.
  • Optional: one device at reception, if someone else registers patients.
  • A printer if patients want paper. A basic A4 or A5 printer is enough.
  • Optional: an old TV, tablet or phone in the waiting room to show the current token.
  • Screen locks on every device.

Clinic profile

  • Clinic name exactly as on your signboard.
  • Doctor name, qualifications and registration number with council.
  • Address, phone and session timings.
  • Consultation and follow-up fees.
  • Your clinic's UPI ID, so the app can show a QR with the exact amount.

Prescription setup

  • Add your 20 to 30 most-prescribed medicines to your own list, with default dose, frequency and duration. MedPrax OPD has over 3,000 Indian brands and generics built in, and you can paste your own list from Excel.
  • Choose whether to show picture dosage instructions, and pick a second language for your patients. See prescriptions in regional languages.
  • Create templates for your five most common conditions (Pro).
  • Print a test prescription.

Printing

  • Choose A4 or A5 to match your paper.
  • Adjust the margins until the print fits your printer and paper.
  • The clinic details from your profile always appear at the top. Pro adds a custom letterhead.

Existing patients

  • If you have a patient list in Excel or from older software, import it. MedPrax OPD lets you paste from Excel or upload a CSV, and guesses which column is name, mobile, age, gender, address, allergies or old patient ID.
  • If your records are on paper, do not scan everything. Create records as patients return, and attach photos of important old reports or prescriptions to their file. Our guide to moving from paper to digital explains this "touch it, move it" approach.

Staff

  • Give each staff member their own login. Do not share the doctor's password.
  • On MedPrax OPD, staff logins start on the Pro plan, which includes two. Starter is a single-login plan.
  • Walk your receptionist through registration, tokens and payment. See our receptionist workflow guide.

Certificates and paperwork

  • Check the medical certificate, fitness certificate and referral letter formats once, so they are ready when a patient asks.

Data safety

  • Know where your data is hosted. MedPrax OPD uses Google Cloud in Mumbai (asia-south1), encrypted in transit and at rest.
  • Export your patients and visits once, so you know how it works. Export is available on every plan.
  • Use a clinic-owned email for the account, not a staff member's personal one.

Part 3: The first two weeks

WhenGoal
Day 1Every patient gets a digital token and a record; every fee recorded
Days 2 to 4Digital prescriptions for follow-ups and simple cases
Day 5Match the collection summary to cash and UPI
Week 2Every prescription digital; share on WhatsApp by default
End of week 2Decide on online booking and a waiting-room display

Which plan does a small clinic need?

  • Starter (free): one doctor, up to 150 visits a month, single login. Good for new or part-time practices.
  • Pro (₹399/month or ₹3,999/year): unlimited visits, one doctor plus two staff, online booking, TV display, templates, custom letterhead and reports. This is what most busy solo clinics choose.
  • Clinic (₹999/month or ₹9,999/year): up to five doctors with unlimited staff, for polyclinics.

Prices are plus GST. Every new account gets a 14-day Pro trial with no card. See pricing.

Specialty notes

Most of this checklist applies to every specialty, but a few details differ. Pediatricians will want the vaccination record and growth trend set up early (see pediatrics). Dentists and dermatologists often attach photos to the patient file (see dentistry and dermatology). General physicians benefit most from repeat-prescription and follow-up reminders (see general physicians).

Try before you set up

Not sure yet? The live demo opens a sample clinic with patients, a queue and prescriptions so you can click around without entering anything. When you are ready, create your clinic and work through this checklist.
